- Bring the large group together in a large meeting room.
- It is critical t hat all participants can hear each other and the audience can hear all commentsmicrophones may be instrumental in the success of the focus group depending on the size of the group or the venue.
- Gain prior approval of participants to serve on the focus group and give them a copy of the open-ended questions you intend to utilize. Emphasize the goal to utilize follow-up questions that will be built on their responses as a tool to greater understanding by the facilitator and the audience.
- Have a smaller group serve as the focus group. Circle the group in a tight circle in the center of the room or as a panel on a stage. Many times the circle is less threatening to participants and often yields more interaction between focus group members.
- The rest of the large group sits around the perimeter of the room and serves the role of being observers of the interaction. They may not participate or distract the focus group members.
- Discuss the focus group process to both groups of people and the roles each will play in the process.
- Place a strong emphasis on the ground rules for the activity.
- Pay special attention to make sure all focus group members are heard from and attempt to maintain a balance.
- Pose the questions and follow-up questions in a relaxed manner that lends itself to deep thinking and a willingness by the focus group members to want the facilitator to understand their thoughts, opinions, and idea.
- As the focus group finishes the audience forms groups of four to seven and discuss “WHAT DID I HEAR BEING SAID?” to each of the focus group questions.
- Have the small groups report out.
- As a group come to consensus as to what we, as a team, have learned from the focus group experience.
- The data collected can assist the large group to develop an action plan to implement steps toward a change process.
- Record all data and action plans.
